What Documents You Need For A Ugandan Work Permit

You cannot work legally in Uganda on a tourist visa. You need a work permit. And permits get held up over paperwork – a file that is incomplete, inconsistent, or filed under the wrong class.

Here is what to have ready before you start.

Get your permit class right first

Uganda issues work permits by class, Class A through Class G. The class follows the work you will actually be doing. Government contracts, agriculture, mining, trade and business, manufacturing, professional employment, and NGO, missionary or volunteer work each sit under a different one.

Choose the wrong class and the file comes back to you, no matter how good the rest of it is. Settle this before you fill in anything. Everything else follows from it.

The documents almost every application needs

• Your passport. Valid, with a clean scan of the bio-data page. Check the expiry date now, not after you have filed.
• A recent passport photograph on a plain background, digital copy included.
• Your appointment letter or signed contract, showing the role, the term and the pay.
• A cover letter from the employer or organisation sponsoring you.
• Academic and professional certificates. If your profession is regulated in Uganda, add proof of registration with the body that regulates it.
• A police clearance certificate – a certificate of good conduct from the country you have been living in.
• Your employer’s company documents: certificate of incorporation, a current trading licence, and tax records including the TIN.
• Documents for your dependants if they are coming with you – passports, photographs and proof of relationship.

Some classes ask for more, such as a recommendation from the ministry or regulator that governs the sector. Requirements are also updated from time to time. Confirm the current checklist for your class before you pay for anything.

A permit file is judged on whether it holds together. One name spelled two ways can stall the whole application.

Where applications go wrong

• The names do not match. The spelling and the order of your names must be identical on your passport, your certificates and your contract. One extra middle name is enough to hold a file.
• The scans are unreadable. Upload full-page colour scans. Photos taken on a phone at an angle get sent back.
• Documents are not in English. Get a certified translation before you upload anything.
• The employer’s own file is out of date. An expired trading licence or unfiled tax returns will hold up your permit, not just theirs.
• Somebody starts work early. Do not begin work before the permit is issued. It puts you and your employer at risk.

If you are already in Uganda

If you are in the country and your current status is running out while a permit is being processed, ask about a special pass. That is the usual bridge. Apply while your status is still valid. Late is far harder to fix than early.
